Description
The Administrative Assistant will provide executive level administrative support for the Chief Procurement Officer, Global Procurement Services. This person works closely with the CPO to perform the highest level of administrative duties, working independently and proactively on numerous administrative tasks, exercising discretion and independent judgment on a regular basis.
The position is located in Houston Texas in the Energy Corridor at the 900 Threadneedle building (I-10 and Dairy Ashford)
Responsibilities:
* Coordinate with other department administrative personnel. * Manage incoming telephone calls appropriately and professionally. * Receive, process, and distribute incoming/outgoing mail and facsimile transmissions. * Make travel arrangements as required, including substantial international travel. * Extensive calendar management. * Prepare expense reports as required using SAP. * Schedule and coordinate meeting requirements (including multiple party teleconferences). * Manage departmental records and serve as document records management specialist. * Process invoices for group and effectively use procurement card. * Primary point of contact for Chief Procurement Officer's itinerary. Through this responsibility, will interact with senior management in Project Development and Procurement, and the global business units. * Prepare and maintain reports and presentations using a variety of software. * Maintain and update intranet website. * General office duties as required.
Qualifications
Basic/Required Qualifications:
* Legally authorized to work in the United States * High School diploma/GED
* Proficient (perform the skill with limited assistance) with Outlook, Word, Excel and PowerPoint.
* 5+ years experience in administrative support at a Senior or Executive level. * Experience with document records retention management * Able to operate and arrange maintenance for LCD's, printers, fax machines, cell phones, blackberry's & conferencing equipment * Willing and able to work occasional spot overtime as necessary

Has effective network in place to aid in productivity. * Consistently produces high quality products. * Performs duties in a professional manner and acts as an ambassador for the company. * Maintain a high level of discretion, confidentiality and reliability. * Strong interpersonal skills with the ability to interact with a variety of internal and external contacts. * Demonstrated initiative and the ability to evaluate situations and recommend solutions.
