Description

ConocoPhillips currently has an open position for Administrative Assistant with the Project Development & Procurement (PD&P) organization. This position will support the General Manager for Upstream Projects and is on the PD&P Leadership Team. The PD&P organization is a growing and exciting area in ConocoPhillips supporting major projects around the world. This opportunity is primarily accountable for office management, administrative systems, processes, procedures and providing these services in a way that enables an effective and efficient work environment.

The position is located in Houston Texas in the Energy Corridor at the 900 Threadneedle building (I-10 and Dairy Ashford)

Responsibilities:

* Serve as the primary point of contact for the General Manager's itinerary
* Interact with other senior management as required in carrying our your primary responsibilities.
* Prepare and maintain reports and presentations using a variety of software.
* Supervise other department administrative personnel.
* Serve as an ambassador of ConocoPhillips through managing incoming telephone calls appropriately and professionally.
* Receive, process, and distribute incoming/outgoing mail and facsimile transmissions.
* Initiate detailed travel arrangements including substantial international travel.
* Prepare expense reports as required using SAP Travel & Expense.
* Schedule and coordinate meeting requirements (including multiple party teleconferences).
* Manage departmental records and serve as records retention specialist.
* Primary contact for attendance and vacation tracking issues.
* Process invoices for group and effectively use procurement card.
* Manage Department Training Program.
* General office duties as required.

Qualifications

Basic/Required Qualifications:

* Legally authorized to work in the United States
* 5+ years experience as an executive administrative assistant
* Proficient skills in MS Office suite software
* Experience with document records retention management
* Able to operate and arrange maintenance for LCD's, printers, fax machines, cell phones, blackberry's & conferencing equipment
* Willing and able to work occasional spot overtime as necessary.

* Strong organization skills, comfortable with multi-tasking
* Must be able to facilitate problem-solving and conflict resolution with internal and external contacts
* Strong record of customer oriented approach when handling vendors, speakers, and program participants
* Excellent verbal and written communication skills at all levels
* Previous experience supporting all level of managers of capital projects or procurement
* Adjusts rapidly to unexpected or changing conditions
* Uses judgment to deal effectively with new and different situations
* Learns about and assists in a variety of tasks in order to help others optimize their time and priorities
* Possess excellent interpersonal skills with employees and customers
* Has effective network in place to aid in productivity.
* Maintain a high level of discretion, confidentiality and reliability.
