The Administrative Assistant support role provides daily business support to the Manager, Talent Management COE, Manager, Leadership & Development, and the Director, Succession Management & Global Workforce Planning. This position is accountable for office management, administrative systems, processes, procedures and providing these services in a way that enables an effective and efficient work environment.
The Administrative Support Role may be responsible for the following;
* Providing overall administrative support within Talent Management with a strong focus in reporting and presentation needs e.g. creating and updating spreadsheets, presentations, and/or documents using MS Excel, PowerPoint and Word. * Answering phones and providing back-up support for leadership within Human Resources Corporate. * Providing office management, including conference room management, office moves/office space, new employee setup, supplies, ordering and managing electronic hardware requirements, subscriptions/publications, general communications and contact lists. * Managing calendars and arranging travel, both domestic and international. * Developing / maintaining global master information lists (office equipment, contacts, Outlook distribution groups, subscriptions/services, org charts, other). * Developing / maintaining master information list for all diversity activities (budgets, charge codes, event management, etc.) * Managing Outlook public folders, mail groups, shared drives and central files for Talent Management COE organization. * Assisting in the compilation and delivery of monthly or other ad hoc reporting requirements as deemed necessary. * Maintaining Talent Management SharePoint/website information. * Processing and coding general & administrative invoices via I-Pay and route to appropriate manager for approval related to subscriptions & publications, training courses, management outings and contract services/consulting services. * Procurement and inventory management of office supplies and promotional items. * Defining methodology, monitoring and assuring compliance with document retention policy and procedures for the Talent Management COE organization. * Developing, maintaining and continuously improving administrative systems, processes and procedures. * Supporting personnel administration processes with strict confidentiality. * Coordinating with other Administrative Assistants for planning and implementing HR events during the year. * Special assignments, as required.
Qualifications
Basic/Required Qualifications
* Legally authorized to work in the United States without restrictions. * Minimum five years experience in an administrative assistant role. * High school diploma or GED. * Advanced skills in MS Word, Excel & PowerPoint developing or maintaining documents, data manipulation, tables, and graphs.
Preferred Qualifications
* Expert level skill proficiency in MS Office. * Previous experience supporting management within Human Resources. * Ability to maintain confidentiality. * Bachelors Degree. * Ability to handle multiple priorities concurrently. * Strong interpersonal skills; ability to work with all levels including senior management within the organization. * Excellent verbal and written communication skills. * Excellent planning, organizational and analytical skills. * Dependable with high quality standards and productivity. * Strong process and system orientation; promotes group effectiveness. * Able to accomplish tasks in timely, professional manner. * Self motivated with strong influence management skills. * Solid teamwork skills with preference for action, accountability, and developing alternatives and solutions. * Strong desire for personal learning and sharing of skills with others. * Anticipates barriers and provides alternative solutions.
